How to Watch Your Store Remotely Using PosWolf Store Monitor

PosWolf includes a built-in Store Monitor — a private web dashboard you can open on your phone or any browser to see exactly what's happening in your shop right now, even when you're not there. Sales come in live, staff actions are logged instantly, and critical events like refunds or deletions send you an immediate alert.

This guide walks you through setup and everything the dashboard can do.

What the Store Monitor shows you

Once you're in, you'll have a live window into your shop:

• Today's totals — revenue, transaction count, and items sold, updated every 15 seconds
• Recent Sales — every transaction with payment method, cashier, and amount. Tap any row to see the full item-by-item breakdown
• Store Activity — a live feed of every important event your staff trigger: logins, refunds, price changes, stock edits, new users, deletions, and more — each colour-coded by severity
• Real-time notifications — browser alerts that appear even when the tab is in the background, with different tones for different severity levels

Step 1 — Activate your PosWolf license

The Store Monitor is included with any active PosWolf subscription. To get started:

1. Open PosWolf on your shop computer
2. Go to Settings → Subscription
3. Click Start Free Trial (or activate a purchased license key)

Once activation completes, PosWolf automatically registers your store with the cloud and a Store Monitor tab becomes visible in Settings.

Step 2 — Set your dashboard password

Before you can sign in from your phone, you need to set a password from inside the PosWolf app:

1. Go to Settings → Remote Monitor
2. Enter a new password in the New password field, confirm it, then click Set Password
3. A confirmation message appears — your password is now active

You only need to do this once.

Step 3 — Create your dashboard account

Open your browser and go to:

https://poswolf.newdevz.com/store/register

You'll be asked for three things:

After registering, you'll go straight to your live dashboard.

Tip: You can also scan the QR code shown in Settings → Remote Monitor to open the registration page instantly on your phone.

Step 4 — Sign in from any device

Once your account is created, sign in at:

Your session lasts 30 days — you won't need to sign in again on the same device.

Step 5 — Read your daily summary

At the top of the dashboard you'll see three cards:

These update automatically every 15 seconds. When a new sale arrives, the cards briefly flash amber to draw your attention — no manual refresh needed.

Step 6 — Check recent sales

The Recent Sales tab shows your last 50 transactions, newest first.

Each row shows:

• The transaction number (e.g. TXN-00145)
• The cashier who processed it
• Payment method (Cash · Card · Transfer)
• Total amount
• How long ago it happened

Tap any row to expand it and see the full item breakdown — product name, quantity, unit price, and subtotal.

New sales that arrived since you last looked are highlighted with an amber left border and a NEW badge for 20 seconds.

Step 7 — Monitor the Store Activity feed

Click the Store Activity tab to see a real-time log of everything your staff are doing.

Every entry shows an icon, a colour-coded badge, a description, the staff member's name and role, and the time it happened.

Events are grouped by severity:

🔴 Critical — immediate red banner

These appear as a full-width red banner at the top of your screen the moment they happen:

• Refund issued — who processed it, the amount, and which transaction
• Permanent deletion — a user or record removed forever
• Write-off — inventory written off and why
• Bulk delete — multiple records deleted at once
• Purchase order cancelled

🟡 High — amber toast notification

These appear as a slide-in card and also trigger an OS-level browser notification:

• Staff login — who signed in and when
• Any deletion — products, categories, expenses
• Password changed or reset — for any staff account
• Role changes — permissions added or removed
• Account deactivated

🟢 Medium — standard notification

• New product or user added
• Stock received from a purchase order
• Expense logged
• Campaign activated

ℹ️ Info — activity panel only

Minor updates (product edits, barcode changes, setting tweaks) are recorded silently in the activity feed without a toast or sound.

Step 8 — Enable browser notifications

For the best experience, allow the dashboard to send notifications to your device. This means critical alerts appear even when the browser tab is in the background or your phone screen is off.

1. Click the bell icon in the top-right corner of the dashboard
2. Tap Allow notifications in the banner that appears
3. Confirm the browser permission prompt

Once enabled:

• Critical events (refunds, deletions) play a low urgent tone and stay on screen until you dismiss them
• High events (logins, password changes) play a shorter tone and auto-dismiss after 7 seconds
• Sales play a soft chime and dismiss after 5 seconds

Step 9 — Use the notification centre

The bell icon in the header shows an unread badge whenever new events have arrived since you last looked. The badge turns red if any critical events are unread.

Click the bell to open the Activity Panel — a slide-in history of every notification, with the time it happened and whether you've read it. You can clear all entries at once or mark them read by switching to the relevant tab.

The browser tab title also updates to show the count, e.g. 🔔 (3) Store Monitor, so you can glance at it even without opening the tab.

Frequently asked questions

Do I need to install an app? No — the Store Monitor is a normal website. Open it in Chrome, Safari, or any browser on any device.

Can my staff see this dashboard? No. The dashboard is only accessible with your owner email and password. Staff use the PosWolf app on the shop computer and cannot access the Store Monitor.

Can I change anything from the dashboard? No — the dashboard is read-only. It shows you what's happening, but any changes to prices, stock, or transactions must be made from the PosWolf app at the shop.

Does the shop need internet for this to work? The shop computer sends sales and staff events to the cloud automatically whenever there is internet. If the internet is temporarily down, those events are sent as soon as the connection returns.

How often does the dashboard update? Every 15 seconds automatically. You can also tap Refresh in the header at any time to pull the latest data immediately.

Is this secure? Yes. Your dashboard is protected by your email and password, and your store token is encrypted. Nobody else can access your data.

What if I forget my password? Set a new one from the PosWolf desktop app: Settings → Remote Monitor → Set Password. You don't need email recovery — access is controlled directly from your shop computer.
